Snap Schedule 365 offers a robust scheduling tool, allowing you to create schedules based on specific needs or requirements or automatically. For example, you can schedule shifts based on the:

  • Shift
  • Task
  • Location
  • Skill requirement
  • Position

When manually creating schedules, you can use Snap Schedule 365’s drag-and-drop scheduling tool to assign, move, copy or move shifts around. You can even copy elements from old schedules to paste into new ones for faster schedule creation. As you do, you can assign employees to certain tasks and break times. Then, you can choose which employees are the best fit for each shift based on:

  • Current labor costs
  • The employee’s current workload
  • The employee’s skills
  • The employee’s seniority

As you create your schedule, the system will automatically detect and notify you of conflicts. For example, it will alert you if an assigned shift conflicts with an employee’s scheduled time off, if it is a duplicate shift, if the employee is simultaneously assigned to two shifts or if the employee isn’t authorized to work in the shift’s location.

When using the auto-scheduler, you can set up a pattern with a drag-and-drop scheduler, then save the pattern so the system can build out that pattern into future weeks and months. Its auto-scheduler supports the following shift types:

You can also request that the software auto-schedules based on specific predetermined requirements, such as:

Once the system has auto-generated a schedule, you can preview it to make changes before approving it.

When employees have worked their shifts, the system automatically calculates their working hours and the associated costs. It factors in overtime and on-call pay, time off and other premium payments. These calculations are then incorporated into detailed reports that can be used for payroll, budgeting or compliance reports.

  • View the previous or next payroll cycle

  • Look up a coworker’s contact information and call, text or email them

Reporting

Snap Schedule 365 offers over 50 customizable reports. Once you’ve landed on the exact customizations you want, you can save them to continue refreshing them for future reporting needs. Some customization options you can access include the ability to:

  • Use filters to include or exclude certain data
  • Sort data in a certain order
  • View data within a date range
  • Change the header or footer
  • Choose fonts and number formatting
  • Modify the columns used

Once you have generated a desired report, you can drill down on the report to surface more granular information or export the report using Adobe Acrobat PDF, Microsoft Word or Microsoft Excel programs.

Shift Bidding

Snap Schedule 365’s shift bidding features allow employers to offer shifts to employees when they’re available. For example, an employee may call in sick. In turn, an employer can put that shift up for a bid. They can either announce the shift’s availability to all available and qualified employees or send out a shift offer to a list of select employees. In this case, the system will go down the list to offer employees the shift. If the first employee rejects the shift, the system will then ask the next one on the list. The first to accept the shift is scheduled.
